Creating a Group
Groups are created automatically from waivers and booking integrations — create them manually for walk-ins, pre-scheduled bookings, or testing
Every game session gets a group — it's where players, photos, and results come together. Most of the time, you won't need to create groups yourself. Waivers and booking integrations handle it automatically. When you do need to create one manually — for walk-ins, pre-scheduled bookings, or testing — it takes a few clicks.
How groups are created automatically
When a player submits a waiver with a room, date, and time, Escape Kit finds or creates the right group automatically. If a group already exists for that combination, the player joins it. If not, a new group is created.
Booking integrations (Bookeo, FareHarbor, Resova, and Xola) work the same way — they generate prefilled waiver links with the room, date, and time from the booking, and the group is created when the customer submits the waiver.
Behind the Scenes: When a player submits a waiver, Escape Kit matches by room, date, and time. If no single group matches, it checks for a group event at the same date and time and adds the player there instead. If the player enters a team name and the group doesn't have one yet, that name is automatically applied — it carries through to the group page, debrief page, and leaderboards.
Creating a group manually
For walk-ins or pre-scheduled bookings that haven't come through a waiver yet, create a group from the Groups page.
Click the Add Group dropdown in the top-right corner and select Single Group.
Click Create Group.
You'll land on the group detail page where you can add players, upload photos, and record results.
Pro Tip: For walk-in customers who didn't book online, create the group first, then have them sign via your waiver link. Their waiver submission matches the group you just created by room, date, and time — no manual sorting needed.
Creating a group event
Group events are for multi-room bookings — corporate team-building, birthday parties, or large groups splitting across rooms. Once you create the event, you add individual rooms and times within it.
From the Groups page, click the Add Group dropdown and select Group Event.
Click Create Event.
