Mailchimp Contact Sync Setup

Automatically sync customer contacts to your Mailchimp audience after every waiver — with room tags and guardian status applied

Connect Mailchimp and customers who opt in to marketing are automatically added to your audience after signing their waiver — with room names and guardian status applied as tags, ready for segmented campaigns. No more exporting CSVs and importing contacts.

What you get

  • Real-time contact sync — Customers who opt in are added to your Mailchimp audience the moment they submit a waiver.
  • Automatic tagging — The room name is applied as a Mailchimp tag for single-room bookings (event bookings are tagged "Event"). Guardian-only players are tagged separately.
  • Rich contact data — Email, first name, last name, phone, and date of birth sync automatically.
  • Existing contacts updated — If a contact with the same email already exists, their record is updated rather than duplicated.

Connect your account

Get your credentials from Mailchimp

In your Mailchimp account, go to Profile > Extras > API Keys to copy your API key. Then go to Audience > Settings > Audience name and defaults and note the Audience ID (also called List ID).

Connect in Escape Kit

Go to SettingsIntegrationsMailchimp. Enter your Mailchimp API Key and Mailchimp List ID, then click Connect. Escape Kit validates your credentials and confirms the list name.

Test the connection

Click Test Connection to verify credentials are still valid. The connected list name and last verified timestamp are displayed. If the test fails (e.g., after regenerating your API key), the connection is marked as disconnected.

Pro Tip: Use the room name tags that Mailchimp applies automatically to send targeted campaigns — like promoting a new room to customers who've played your most popular one.

Common Mistake: If customers aren't appearing in Mailchimp, check the email opt-in checkbox on your waiver. If the checkbox is displayed and the customer didn't check it, no data syncs.

Disconnecting

Click Disconnect Mailchimp and confirm. This clears your API key and list settings — you'll need to reconnect from scratch.
