Managing Players
Add walk-ins, move misassigned players between groups, and manage your roster from the group detail page
The Players section on a group's detail page is your roster for that game session. Add walk-in customers who skipped the waiver, move players who ended up in the wrong group, copy players across groups, or clean up records — all without leaving the page.
The player table
Open a group from the Groups list. The Players section shows every player in the group, with a header showing the total participant count (and a separate minors count if any are present).
Each row shows:
- Name — Click an adult player's name to open the player detail panel. Minors show a "minor" badge and aren't clickable. Non-participating guardians show a shield icon.
- Email — The player's email, or "n/a" for minors.
- Phone — The player's phone number, or "n/a" for minors.
- Waiver — A "View" link to the signed waiver PDF, or "n/a" if no waiver is on file.
- Date Added — When the player record was created.
Use the checkboxes to select players for bulk actions. Minors can't be selected individually — manage them through their guardian's record.
Adding a player
Click Add Player in the Players section header.
Click Submit to add the player to the group.
Pro Tip: Players added manually don't have a signed waiver on file. If you need a waiver, use the group's waiver link (available from the header options menu) — it links directly to this group, so the player is added here automatically when they submit.
Bulk actions
Select one or more players using the checkboxes, then click Actions:
- 1 player selected — Edit Player, Move Player, Copy Player, Delete Player
- 2+ players selected — Move Players, Copy Players, Delete Players
Moving players
Select Move Player from the Actions menu. Choose a target group from the Target Group dropdown (which lists open groups at your location) and click Submit. The player is removed from this group and added to the target — their player record, waiver, and contact info all transfer intact.
Copying players
Select Copy Player. Same interface as Move — pick a target group and click Submit. The original stays in this group; a copy is created in the target group. The copy shares the same contact record but does not include the original's signed waiver or minors.
Deleting players
Select Delete Player. A confirmation warns that deletion is permanent and can't be undone. If the player's contact has no other player records, the contact is also deleted. Minors attached to the player are deleted automatically.
Common Mistake: If you need to remove a player from one group but keep them in another, use Move instead of Delete. Deletion is permanent.
Editing a player
Select a single player and choose Edit Player from the Actions menu, or click Edit Player from the player detail panel.
Player detail panel
Click an adult player's name to open their detail panel. This shows their full information — first name, last name, email, phone, date of birth, suggested team name, marketing email opt-in status, custom field responses, and any minors listed on their waiver.
From the detail panel, you can View Debrief (after the group is completed), View Waiver, Edit Player, Move Player, Copy Player, or Delete Player.
