Messaging Templates
Configure room-level email, text, and Facebook templates so every completed game sends the right follow-up based on outcome and channel
Each room has its own set of post-game messaging templates across email, SMS, and Facebook. When a group is completed, Escape Kit selects the right template based on the game outcome and channel — so a team that escaped gets different follow-up than one that didn't.
Go to Escape Rooms[Room Name]Messaging to configure templates for a room.
Email templates
Use the Email Type dropdown to switch between template types:
| Type | When it sends |
|---|---|
| Default | Every completed group, unless a more specific template applies |
| Success | When the group escaped — overrides Default |
| Fail | When the group did not escape — overrides Default |
| No Photo | When no photos were uploaded — must be enabled separately |
| Event | For event groups — configured at the location level, not per room |
Each email template has these fields:
{player_first_name} and {room_name}. Required for Default, No Photo, and Event. Optional for Success and Fail — leave blank to use the Default template.#ed1c24). Not shown for the No Photo type. The No Photo email has its own toggle — select the No Photo type to see the "No Photo" Email Enabled switch. When disabled, the No Photo template is ignored and all groups receive the outcome-based template regardless of whether photos were uploaded.
Common Mistake: The No Photo email is off by default. If your team sometimes completes groups without photos, enable it so players don't receive photo-focused copy when no photos exist.
Text message templates
Use the Text Type dropdown to switch between types:
| Type | When it sends |
|---|---|
| Default | Every completed group, unless a more specific template applies |
| Success | When the group escaped — overrides Default |
| Fail | When the group did not escape — overrides Default |
Each type has a single Text Message field. The debrief link is appended automatically — your template just needs the message itself.
SMS supports template variables {player_first_name} and {player_last_name}.
Pro Tip: Keep SMS short and action-focused. The debrief link is added to the end automatically, so your template should provide context and a quick prompt to tap through.
Facebook photo captions
This section only appears if your location has Facebook integration connected.
Use the Caption Type dropdown to switch between types:
| Type | When it posts |
|---|---|
| Default | Fallback caption for auto-posted photos |
| Success | When the group escaped — overrides Default |
| Fail | When the group did not escape — overrides Default |
Each type has a single Photo Caption field.
Common Mistake: Facebook captions do not support template variables. Text like {player_first_name} is posted literally.
How template selection works
When a group is completed, Escape Kit selects templates based on the game outcome:
- Outcome-specific template — If the group escaped and a Success template exists, it's used. Same for Fail.
- Default template — Falls back to the Default template if no outcome-specific template is set.
- No Photo override — If no photos are attached and the No Photo email is enabled, Escape Kit sends the No Photo email instead and skips the text message for that group.
For event groups, the follow-up email is configured at the location level — not per room. Navigate to any room's Messages tab and select Event from the template type dropdown to configure it.
Behind the Scenes: Per-group caption overrides entered during completion take priority over room-level Facebook caption templates.
