Escape Room Setup Overview

Every room has its own schedule, messaging templates, overlays, and results form — configure once and Escape Kit handles the rest

Every experience at your location gets its own room in Escape Kit — with its own schedule, waiver options, messaging templates, photo overlays, and analytics. Configure a room once, and every waiver submission, group, and follow-up email flows through it automatically.

What a room controls

Each room has five configurable tabs in Escape Rooms[Room Name]:

General
Room name, image, game time, and room lifecycle (retire or delete).
Schedule
Weekly time slots and date-specific overrides that control which times customers can select on the waiver.
Messaging
Per-room email, SMS, and Facebook caption templates with outcome-specific variants. Email also supports a separate no-photo template.
Overlays
Transparent image overlays and dynamic text overlays that brand every team photo automatically.
Results Form
Toggles that control which fields (game master, team name, group size, game result, escape time, clues, points) appear on the group detail page.

How rooms connect waivers, groups, and results

Customer selects room and time

On the waiver, the player chooses a room, date, and time from the room's schedule slots.

Escape Kit places the player into a group

If a matching group already exists for that room, date, and time, the player joins it. If not, Escape Kit creates one automatically.

Your team runs and completes the game

On the group page, game masters upload photos, record results using the room's results form fields, and complete the group.

Room-level settings drive follow-up

Escape Kit uses the room's messaging templates, photo overlays, and outcome data to send personalized follow-up to each player and populate analytics.

Example: A customer signs for Friday at 7:00 PM in The Lost Temple. Escape Kit matches them to the Friday 7:00 PM Lost Temple group automatically, then uses The Lost Temple's email templates and overlays when the group is completed.

Where rooms show up across Escape Kit

  • Waivers — Only rooms you've selected appear in the room dropdown. Each waiver controls its own room list.
  • Groups — Room, date, and time are the primary matching keys for automatic player assignment.
  • Insights — Room data powers filtering, performance comparisons, and game master analytics.
  • Debrief and messaging — Each room's templates and overlay settings shape what players receive after a game.

Common Mistake: Creating a room does not automatically add it to your waiver. Enable Display room on active waiver during creation, or add the room manually in each waiver's Escape Rooms section.
